3. OUR SERVICES
See You By The Pool provides creative event planning and production services tailored to individual requirements.
Every event is different, and the services provided will depend on the agreed brief, budget, location and availability.
Information and examples displayed on our website are intended to demonstrate our services and creative capabilities.
Photographs, illustrations and event concepts may be used for inspiration and do not necessarily represent an event previously delivered by See You By The Pool.
Specific services, deliverables and responsibilities will be confirmed in writing before a booking is finalised.
4. ENQUIRIES AND QUOTATIONS
Submitting an enquiry through our website does not constitute a confirmed booking.
Following an initial consultation, we may provide a written quotation outlining:
- The proposed event or services.
- The agreed scope of work.
- Event dates and locations.
- Estimated costs and payment terms.
- Any relevant supplier arrangements.
- Additional booking conditions.
Quotations will remain valid for the period stated within them.
Prices and availability may change before a booking is confirmed.
A booking becomes binding when the relevant agreement has been accepted, any required initial payment has been received and written confirmation has been issued.
5. PRICING AND PAYMENTS
All prices will be communicated clearly before a booking is confirmed.
Prices may vary depending on the scale, location, complexity and requirements of an event.
Additional services requested after confirmation may incur additional charges.
Any changes to the agreed price will be discussed and confirmed before the additional work proceeds.
Payment schedules, deposit requirements and final payment dates will be specified in individual booking agreements.
Unless otherwise stated, prices will be displayed in pounds sterling (GBP).
Applicable taxes and any additional charges will be clearly identified before payment.
6. DEPOSITS AND BOOKING CONFIRMATION
A deposit or initial payment may be required to secure an event date and allow planning to begin.
The amount will be stated in the relevant quotation or booking agreement.
Deposits may contribute towards creative development, administration, supplier reservations and other agreed preparation costs.
If a booking is cancelled, any amount retained will be determined in accordance with the booking agreement, applicable law and the reasonable losses arising from cancellation.
Deposits are not automatically non-refundable.
7. CLIENT RESPONSIBILITIES
To help us deliver your event successfully, clients agree to provide accurate and timely information.
This may include:
- Event dates and locations.
- Guest numbers.
- Budget requirements.
- Venue information.
- Accessibility requirements.
- Relevant health and safety considerations.
- Supplier information.
- Any permissions required for the event.
Clients are responsible for informing us promptly of changes that may affect planning or delivery.
Where the client is responsible for obtaining venue permissions, licences or other approvals, these responsibilities will be identified in the booking agreement.
8. THIRD-PARTY SUPPLIERS
See You By The Pool works with venues, entertainers, caterers, production teams and other independent suppliers.
Where third-party services are required, we will explain the relevant arrangements before confirming a booking.
Some suppliers may have separate terms, payment schedules and cancellation conditions.
We will communicate any relevant conditions to clients where applicable.
Our responsibilities for third-party services will depend on whether we are acting as the principal supplier or arranging services as an agent on the client's behalf.
These arrangements will be identified in the relevant booking agreement.
Nothing in these terms removes any legal responsibilities we owe to our customers.
9. EVENT CHANGES AND AMENDMENTS
We understand that plans can change.
Requests to amend an event date, venue, guest numbers, entertainment or other arrangements should be made in writing as soon as possible.
We will make reasonable efforts to accommodate changes, subject to availability and existing commitments.
Additional charges may apply where amendments involve extra work, supplier costs or changes to production requirements.
Any additional costs will be explained before proceeding.
10. CANCELLATIONS AND REFUNDS
Our Refund & Cancellation Policy explains how cancellations, postponements and refunds are handled.
Cancellation charges will depend on the terms agreed at booking, work already completed, supplier commitments and applicable law.
Where a customer has a statutory right to cancel or receive a refund, those rights will take precedence over any conflicting contractual provision.
Please refer to our Refund & Cancellation Policy for further information.
11. TICKETED EVENTS
See You By The Pool may organise and sell tickets for events, parties and experiences.
Ticket purchases are subject to the conditions displayed at the time of booking.
These may include:
- Event dates and admission times.
- Age restrictions.
- Ticket categories.
- Venue requirements.
- Accessibility information.
- Refund and transfer conditions.
Tickets for leisure events taking place on a specific date or during a specified period will generally not be subject to the standard 14-day cancellation period applicable to many online purchases.
However, customers retain their applicable statutory rights.
If an event is cancelled or materially changed, we will communicate the available options and provide refunds where required by law.
12. EVENT SAFETY AND CONDUCT
The safety and enjoyment of everyone attending our events is important to us.
Guests are expected to behave respectfully towards other attendees, performers, venue staff and event personnel.
We reserve the right, or may work with venues and security teams, to refuse admission or remove individuals where reasonably necessary due to:
- Threatening or abusive behaviour.
- Violence or harassment.
- Serious disruption.
- Failure to comply with reasonable safety instructions.
- Breaches of applicable venue rules.
Any decision regarding refunds following refusal of admission or removal will be made in accordance with applicable law and the circumstances involved.
We will work with relevant suppliers and venues to support appropriate health and safety arrangements.
13. PHOTOGRAPHY AND FILMING
Photography and video recording may take place at events organised by See You By The Pool.
Where appropriate, attendees will be informed that photography or filming is taking place.
Images and footage may be used for event documentation, marketing, social media and promotional purposes where we have an appropriate lawful basis.
Where consent is legally required, we will obtain it.
Guests may contact us regarding privacy concerns or requests relating to identifiable images.
Further information is available in our Privacy Policy.
14. INTELLECTUAL PROPERTY
All original content created by See You By The Pool, including branding, website content, written material, original event concepts, creative proposals and designs, remains our intellectual property unless otherwise agreed in writing.
Clients may not reproduce, distribute or commercially exploit our original creative work outside the permissions granted in their agreement.
Any intellectual property rights transferred or licensed to a client will be specified in writing.
Third-party photographs, designs, music and other materials remain subject to their respective owners' rights.
15. WEBSITE CONTENT AND ACCURACY
We make reasonable efforts to ensure that information displayed on our website is accurate and up to date.
However, service descriptions, event concepts, prices and availability may change.
We reserve the right to update website content where necessary.
Nothing in this section affects any contractual commitments already agreed with customers or any statutory rights.
16. CIRCUMSTANCES BEYOND OUR CONTROL
Events may occasionally be affected by circumstances beyond our reasonable control.
These may include severe weather, transport disruption, venue closures, government restrictions, emergencies or other unexpected events.
Where such circumstances affect an event, we will notify clients as soon as reasonably possible and discuss suitable arrangements.
These may include rescheduling, alternative arrangements or refunds, depending on the circumstances and applicable legal obligations.
Any specific provisions relating to circumstances beyond our control will be set out in the relevant booking agreement.
17. LIABILITY
We take reasonable care in planning, organising and delivering our services.
Our responsibilities and any applicable limitations of liability will be detailed in individual booking agreements.
Nothing in these Terms of Service excludes or limits liability for:
- Death or personal injury caused by negligence.
- Fraud or fraudulent misrepresentation.
- Breach of statutory consumer rights.
- Any other liability that cannot lawfully be excluded or restricted.
We will not seek to exclude liability where doing so would be unlawful or unfair.

Our Privacy Policy explains how we collect, process, store and share personal information.
By using our website, you acknowledge that you have been provided with information about our data processing practices.
Please refer to our Privacy Policy for further details.
19. THIRD-PARTY WEBSITES
Our website may contain links to external websites, including venues, entertainment providers, social media platforms and booking services.
